Rep Team Guidelines & Requirements

  • Coaches of rep teams must complete Coaching Certification through Softball Ontario (exceptions may only be made with President’s approval)
  • Assistant Coaches should have previous experience coaching rep teams or an equivalent coaching certification in any sport
  • All coaches must submit a police check in accordance with PPMSA police check policy
  • All rep players must be registered with Port Perry & District Minor Softball  prior to try outs
  • Selection of rep players must be done by way of open tryouts and a member of the Executive may be asked to participate in the selection process
  • Rep team coaches will be responsible for finding and obtaining indoor space for early spring tryouts; if required costs for the space may be recovered by charging players a minimum tryout fee
  • Players not selected who do not wish to play house league with Port Perry Minor Softball will be refunded the full registration fee paid
  • Rep teams will be required to pay an additional rep fee, as determined annually by the Executive, payable to Port Perry Minor Softball by May 30
  • All rep players will receive a participation award supplied by Port Perry Minor Softball
  • Individual and team photos will be provided by Port Perry Minor Softball
  • Port Perry Minor Softball will pay OASA affiliation and OASA tournament fees, OASA liability and accident insurance for the team
  • Port Perry Minor Softball will provide to each rep team one standard bag of equipment including balls, bats, and two sets of catcher’s equipment and basic first aid supplies as well as one set of diamond equipment consisting of two single bases, one double base and a pitching rubber in their first year and an equipment budget in each year thereafter to be used by the team to replace worn equipment or to purchase new equipment required.  Two dozen balls and a scorebook will be provided to the rep team at the beginning of each season. Field equipment may also be replaced at the discretion of PPMS.
  • Any other equipment, including a full first aid kit required by the team will be provided through team fund raising, sponsorship and/or player contributions
  • Used equipment that is still in good repair that is too small for players must be returned to Port Perry Minor Softball
  • Umpire fees for all rep games will be the responsibility of the team.  Coaches will be required to pay Umpires directly throughout the season
  • Rep coaches are required to arrange their own Softball Ontario certified umpires for all season and exhibition games
  • Port Perry Minor Softball will make every effort to secure sponsorship for the rep teams to offset the costs
  •  Sponsorship money obtained by rep teams must be payable to Port Perry Minor Softball.  The association will use the funds to purchase uniforms if needed and may release unspent sponsorship funds to the team for tournament and other team costs
  • All rep players will be required to wear the ball cap provided/approved by Port Perry Minor Softball
  • Uniform colours, logo and team names must be approved by the Executive
  • Rep teams may need to pursue additional fundraising; all efforts must first be reported to the Executive for approval
  • Rep coaches must submit a schedule of home games and practice time to the Diamond Scheduler prior to the first season game and advise of any changes throughout the season
  • The Diamond Scheduler will ensure diamond time for all home games and one practice per week
  • Rep coaches will need to arrange additional diamond times with the Diamond Scheduler if needed
  • Any additional costs incurred by the team for exhibition games or extra tournaments will be funded by team fund raising, sponsorship and/or player contributions
  • Any rep team that qualifies for a Canadian Championship will be awarded a minimum of $500 for travel costs by Port Perry Minor Softball
  • Rep teams will be required to submit a summary of the season’s revenue and expenses by Sept 30 of each year
  • Coaches must select their teams by May 1 in order for players who are not selected to be placed on a house league team in time for the start of the house league season
